The phone rings to ETA’s Travel Support line before sunrise and is answered immediately.
A group of 25 students traveling from Atlanta to Washington, DC has just had their 7:30 AM flight canceled.

Within minutes, ETA is on the phone with the group leader while she is getting ready and heading to the airport.
There are no easy solutions. Flights are full. Options are limited.
So we build one.

- We ensure an adult is assigned to each group
- We rebook across multiple airlines to find enough seats

Then another challenge hits. TSA lines are unusually long, and some travelers miss their new flights.

6:00 AM: TSA Lines Break the System
Another call. Another situation.
This time, one of our student groups misses their flight because TSA lines stretch over 3.5 hours. What should have been a routine airport arrival turns into a complete disruption before they even reach security.
While the group is still in line, we act quickly:
- We hold seats on an alternate flight before they reach security
- We advise them to stay in line so they do not have to start over
- We coordinate with airline agents so tickets can be reissued immediately after TSA
Every decision is made in real time, while the situation is still unfolding.
Instead of reacting after the problem, we are already working ahead of it.
By the time they reach the gate, everything is already in motion.

Late at night, we learn one of our school travel groups of more than 60 students has had their early morning flight canceled.

The airline cannot help until the next day, and by then it will be too late. Spring break demand means flights are already full.
So we pivot, that evening.
- We advise the group not to go to the airport
- We spend hours rebuilding the itinerary from scratch
- We split the group across four different flights
- We reroute them into a different airport, West Palm Beach instead of Orlando
Then we adjust everything else around it:
- We reposition guides and ground transportation to meet them
- We move the trip forward by one day
- We update all reservations
Result: The group arrives, experiences the full trip as planned, and pays nothing extra, despite a complete overnight rebuild of flights, logistics, and itinerary.
When Flights Are Not Even Booked With Us
Sometimes we are not responsible for the flights, but we still take responsibility for the outcome.
A student group traveling to Italy with us books airfare independently. Their flight is canceled, and the agency they used cannot help them. They are told to speak with the airline at the airport.
They call us while standing in a long line with no clear path forward.
While they wait, we:
- Secure alternative flights in real time
- Hold seats before they are gone
- Guide them on what to say when they reach the counter
By the time they speak to an agent, flights are nearly sold out. Because we acted early, they are able to take the seats we secured.

Result: The group departs the same day instead of being stranded, thanks to proactive support from an educational travel team that stepped in, even when it was not our responsibility.
Sometimes, It Is Not the Flights That Go Wrong
Not every challenge involves an airline.
On one trip, a parent began experiencing stomach issues and attempted to remedy it by consuming alcohol. Unfortunately, that decision only made the situation worse.
As the evening progressed, it became clear that intervention was needed. After getting the group settled at dinner, the Tour Manager and a chaperone left to locate the parent, who was at a nearby bar.
They found her and worked to safely return her to the hotel. Despite slurred speech, unsteady movement, and a strong insistence that she was capable of handling things on her own, the team stayed focused on what mattered most: the safety and well-being of the group.
The situation required patience and coordination, including communication with family and school leadership. Ultimately, the decision was made to relieve her of chaperone responsibilities.
The following morning, the parent and her student returned home, and the rest of the group continued safely on the trip as planned.
Result: A difficult and unpredictable situation managed calmly and professionally, with no disruption to the student experience.
