CORONAVIRUS UPDATE FROM ETA

As a result of current efforts nationwide to contain the spread of the coronavirus, all of our programs through mid-May are currently being rescheduled. Educational Travel Adventures will communicate with your school or group leader regarding changes and they will have the most up to date information about the status of your trip. If your trip is scheduled to occur after May 15th and your school has not given you any updates, please know that we plan to reach out to your group leaders in early April to discuss options based on how things are going in the next few weeks.
We appreciate your patience and understanding when contacting us. Many of the situations we are now encountering are new for all of us and our team is working diligently to provide the best outcomes for everyone. We have compiled answers to the most common questions we have been receiving.
Is my trip still running as planned?
Please check with your school or trip sponsor. They will have the most recent and up-to-date information. If they have told you to contact us, please understand that we are making decisions in coordination with them. All schools and organizations traveling in through mid-May have decided to cancel or reschedule trips. Anything beyond that is still running as planned unless your school/group leader has told you otherwise. We continue to look for guidance from federal, state and local authorities regarding future travel.
What if I am concerned and want to cancel my trip before my school makes a decision?
If individuals decide to cancel their place on a trip and they have purchased the optional trip cancellation insurance then they are entitled to a 75% refund as long as they cancel at least 48 hours prior to departure. If you have not purchased insurance and and have not paid in full you can call our office at 866-273-2500 (option #2) to add it. The insurance is provided by a third party insurance company called Trip Assure. We understand that people who have paid in full would still like coverage. If you have questions about insurance, please contact them directly at 800-423-3632 regarding plan #F435E. I don’t want to travel. Why hasn’t my school canceled my trip yet?
We understand that everyone would like information quickly but all of us face challenges during these difficult times. Many schools are struggling to implement remote/e-learning protocols and procedures after abrupt closures. Please be patient as we work with your school when they are ready to address the status of trips.
What if my school has canceled my trip? What happens next?
We are encouraging groups to reschedule their trip at a later date to avoid any cancellation charges or fees. If your school is unable to do this and makes a decision to cancel your entire trip we will do everything we can to work with our vendors and attempt to recover partial refunds. Non-re fundable airline tickets, theatre tickets, theme park tickets and other items that may be included with your trip can often be used for a future date and will be given to your group leader. Each situation is handled on a case by case basis and we will be in communication with your school leadership with updates. Once we are notified by your school, we will record that date and time as your cancellation date. You do not to contact ETA to cancel your trip for insurance purposes.
When will I get my partial refund and if I have insurance, when should I file my claim?
Once we are notified of your group’s intent to cancel, we will begin the process of getting refunds. We are asking that groups allow us two to three weeks to work through this process. Once we have the exact amounts, we will email your group leader details on your refund amount and instructions for filing your insurance claim. It is not necessary to do anything until you receive this notification. If you have insurance, you are not required to file your claim by any specific deadline. Our office automatically records notice of cancellation and you do not need to contact us individually if your school has already advised us of your group’s cancellation.
The Coronavirus is out of my control. Why am I not getting a full refund when canceling?
The current situation has hit almost every business very hard. Please know that our company sends most of the money we collect to numerous suppliers. We are working with them and doing the best we can to recover as much as possible. The pandemic is out of everyone’s control and governments around the world are formulating plans to assist individuals and businesses financially to help us all get through it. Our staff worked for months planning and coordinating your trip and when cancellation occurs we shift our efforts to taking things apart and working hard for the best outcome for everyone. Please be patient and give us the time needed to work through it.
