QUESTIONS REGARDING SPRING 2020 TRIPS

My spring 2020 trip has been canceled, how will I get my refund?

Once your refund amount is determined, we will email your group leader details on your refund amount and instructions for filing your insurance claim. It is not necessary to do anything until you receive this notification. If you have insurance, you are not required to file your claim by any specific deadline. Our office automatically records notice of cancellation and you do not need to contact us individually if your school has already advised us of your group’s cancellation.

How does my insurance coverage work?

If individuals decide to cancel their place on a trip and they have purchased the optional trip cancellation insurance then they are entitled to a 70% refund as long as they cancel at least 48 hours prior to departure. If you received a partial refund as a result of the group cancellation then the insurance coverage will provide a reimbursement of 70% of the non-refundable amount. The insurance is provided by a third party insurance company called Trip Assure. If you have questions about insurance, please contact them directly at 800-423-3632 regarding plan #F435E. QUESTIONS REGARDING FUTURE TRIPS AFTER JUNE 1, 2020

As states across our country begin to reopen, we are adjusting to our new normal. We are all hopeful that we will be able to gather together and travel throughout the country soon. With that hope also comes apprehension about when it will be safe and when destinations will be fully open for business. As restrictions continue to be lifted, health and safety remains our top priority. ETA is following health and safety guidelines issued by the CDC and local governments’ recommendations to minimize risks while traveling. Our team is constantly monitoring changes and updates to these guidelines to ensure the safest environment possible.

We want to address concerns you may have about a future trip.

  • How does my insurance coverage work?

    • For trips scheduled through August 31, 2020, we are evaluating the feasibility of traveling approximately 30 days before departure. ETA is communicating with your group leaders regarding the operation of your trip. For the most recent and up to date information, please contact your school/group leader.
    • If your school/group leader decides not to travel on your current dates, the trip will be either rescheduled, the destination may be changed, or the trip may be cancelled completely. In the event your trip is cancelled completely, we will communicate information about refund amounts.

  • Do I have to make my scheduled monthly payments?

    • Please continue to make your scheduled monthly payments. If you would like to discuss alternate payment arrangements, please call our office at 866-273-2500 or email info@etadventures.com.

  • Can I purchase trip cancellation insurance and what does it cover?

    • Trip Cancellation Insurance protects you in the event that you do not travel. It is strongly recommended and must be purchased within 15 days of paying your initial deposit.
      • In the event that you need to cancel due to a personal medical reason, death in your family, loss of employment by the traveller, or any other fully covered reason, you will receive a 100% refund less the insurance premium.
      • If you cancel for any other reason, you will receive a 70% refund less the insurance premium.

  • What is your cancellation policy?

    • Under our standard cancellation policy, deposits and payments are non-refundable unless trip cancellation insurance is purchased.

  • What is your policy on cancellations related to COVID-19 or another declared pandemic?

    • For trips booked prior to May 12, 2020: please check with your group leader or call our office at 866-273-2500 or email info@etadventures.com.
    • For trips booked on or after May 12, 2020: if state, or federal government restrictions either at your point of origin or destination prevent your trip from running:
      • 90 days prior to departure: trip price fully refundable
      • Within 89 days of departure the following charges will apply: 15% of trip price + any non-refundable supplier charges (airline deposits, hotel deposits, tickets, etc.)

  • What health and safety measures are you implementing for trips?

    • Staying safe and healthy requires cooperation from everyone!
      • Predeparture
        • We are asking groups to check the health of all participants prior to departure. This includes asking participants if they have had any symptoms of illness or fever within the last 24 hours and a recommended temperature check before joining the group. If a student is sick and unable to travel, trip cancellation insurance would provide a refund as long as they consult a physician.
      • During the tour
        • We are working with schools to support their individual health and safety efforts.
        • We are coordinating with our motorcoach, hotel, restaurant, and attraction suppliers to ensure best practices are implemented to provide the safest possible environment.
        • We are following any regulations regarding social distancing and wearing masks.
        • We are reminding all participants to wash hands and use hand sanitizer.
        • In the event that someone becomes sick while travelling, we will work with your school to make accommodations as needed.
